Capture The Chaos – Terms & Conditions of Booking

1. Definitions

“Capture The Chaos” refers to Capture The Chaos and any performers, DJs, entertainers, technicians, or subcontractors supplied under the booking agreement.

“The Client” refers to the person, company, venue, or organisation making the booking.

“The Event” refers to the agreed booking date and services outlined within the quotation, invoice, or booking confirmation.

2. Booking Confirmation

A booking is only confirmed once:

  • A completed booking form has been received

  • The agreed booking fee/deposit has been paid

  • Written confirmation has been issued by Capture The Chaos

Capture The Chaos reserves the right to decline any booking prior to confirmation.

3. Payments

  • A non-refundable booking fee/deposit is required to secure all bookings.

  • The remaining balance must be paid no later than 30 days prior to the event date unless otherwise agreed in writing.

  • Bookings made within 30 days of the event require full payment upfront.

  • Failure to make payment by the due date may result in cancellation of services.

All payments are non-refundable except where stated within these terms.

4. Cancellation Policy

If the Client cancels the booking, the following charges apply:

  • More than 90 days before the event: Booking fee retained

  • 60–89 days before the event: 50% of remaining balance payable

  • 30–59 days before the event: 75% of remaining balance payable

  • Less than 30 days before the event: 100% of total booking payable

Cancellation must be confirmed in writing.

5. Changes to Bookings

Any requested changes to timings, locations, services, or event details must be made in writing.

Capture The Chaos will do its best to accommodate changes but cannot guarantee availability once the booking is confirmed.

Additional charges may apply for:

  • Extended performance times

  • Additional equipment

  • Additional travel

  • Additional staffing

  • Significant schedule changes

6. Performance & Service Conditions

The Client agrees to provide:

  • Safe and suitable working conditions

  • Adequate shelter for outdoor events

  • A reliable power supply

  • Suitable access for loading/unloading equipment

  • Reasonable parking close to the venue

  • Sufficient setup and pack-down time

Capture The Chaos reserves the right to refuse performance or stop services if conditions are deemed unsafe, abusive, illegal, or likely to damage equipment.

No refunds will be issued in these circumstances.

7. Equipment & Damage

The Client accepts responsibility for any loss or damage caused by guests, venue staff, or third parties to equipment supplied by Capture The Chaos.

Any repair or replacement costs may be charged to the Client.

Guests must not interfere with equipment, booths, lighting, DJ gear, instruments, or staging areas.

8. Photo Booths, Selfie Pods & 360 Booths

Clients hiring booths agree:

  • Equipment must only be used as intended

  • Children must be supervised at all times

  • Props remain the property of Capture The Chaos

  • Booths must remain indoors unless agreed otherwise

  • Internet/WiFi availability cannot be guaranteed at all venues

Capture The Chaos is not liable for:

  • Poor venue internet

  • Venue restrictions

  • Limited space provided by the venue

  • Guest misuse of equipment

9. DJs, Bands & Entertainment

Set times, breaks, playlists, and performance details will be agreed prior to the event where possible.

Capture The Chaos cannot guarantee:

  • Specific song requests

  • Exact performers in advertised media

  • Continuous performance without breaks unless explicitly agreed

Reasonable substitutions may be made in the event of illness, emergency, or circumstances beyond control.

10. Force Majeure

Capture The Chaos shall not be liable for failure to perform due to circumstances beyond reasonable control including but not limited to:

  • Extreme weather

  • Flooding

  • Fire

  • Government restrictions

  • Illness/injury

  • Vehicle breakdown

  • Power failure

  • Venue closure

  • Acts of God

  • National emergencies

Where possible, alternative arrangements or rescheduled dates will be offered.

11. Limitation of Liability

Capture The Chaos holds appropriate Public Liability Insurance where required.

Liability is limited to the total amount paid by the Client for the affected service.

Capture The Chaos shall not be liable for:

  • Indirect losses

  • Loss of earnings

  • Venue issues

  • Guest behaviour

  • Third-party supplier failures

  • Delays outside reasonable control

12. Media & Marketing

Capture The Chaos may use photographs, videos, or content captured during events for promotional purposes unless the Client requests otherwise in writing before the event date.

13. Venue Restrictions

The Client is responsible for ensuring:

  • Venue permission has been granted

  • Noise limiters are disclosed prior to booking

  • Adequate performance space is available

  • Venue loading restrictions are communicated in advance

Capture The Chaos cannot be held responsible for reduced performance quality due to venue restrictions.

14. Travel & Accommodation

Additional travel or accommodation charges may apply for events outside standard operating areas or for late-night/early-morning finishes.

These will be agreed in advance where applicable.

15. Acceptance of Terms

Payment of the booking fee/deposit confirms acceptance of these Terms & Conditions.
